In the travel industry, this is called a Tour Conductor (TC) Credit. It is a reward given to the group leader (or applied as a discount across the whole group) for bringing the business to the cruise line.

The Magic Number is 10: typically, Avalon operates on a 1:9 ratio. This means for every 9 full-paying guests booked, the 10th berth is free.
Scenario: You have 5 couples (10 people). You pay for 9, and the 10th person travels free (cruise fare only; taxes and port fees usually still apply).
Scenario: You have 10 couples (20 people). You earn 2 free berths (essentially one free cabin).
Monetizing the Credit: You have two choices on how to use this credit:
Keep it: The group leader travels for free as a "thank you" for doing the work.
Share it: We can take the value of that free berth and divide it among all 20 travelers, lowering everyone’s price. This is a popular move for family reunions where grandma is paying for everyone, or for social clubs where fairness is key.
Pro Tip: This ratio is based on double occupancy. If you have a group of solo travelers, the math changes. Always check with us for the specific "solo" group policy on your desired date.

You don't need 100 people to get a group contract. You barely need a dinner party.
To trigger "Group Status" with Avalon, you only need 8 people (typically 4 double-occupancy cabins). Once you hit this number, you unlock:
Group Rates: Often significantly lower than the published consumer price.
Locked-in Pricing: Once the contract is signed, your price is protected against future hikes.

Final Payment: Usually due 90 days prior to sailing.
The "Attrition" Safety Net: For larger groups (typically 20+), Avalon often writes in an "attrition" clause. This allows you to release a certain percentage of unsold cabins at a specific date (say, 120 days out) without penalty. This protects you from being on the hook for rooms you couldn't fill.

Q: Do we all have to eat together? A: Avalon has open seating dining. However, for groups, we can request a reserved section of the dining room so you can all sit near each other every night without fighting for tables.
Q: What if someone in my group cancels? A: If they cancel before final payment, they typically lose their deposit (unless they have "Cancel for Any Reason" insurance—which we highly recommend). If they cancel after final payment, standard penalties apply. However, if you have a waiting list, you can usually swap names for a fee.
Q: Are drinks included? A: Avalon includes sparkling wine with breakfast, and wine/beer/soda with lunch and dinner. They also have a 24/7 self-serve cappuccino/latte station. If your group wants an "Open Bar" package for cocktails outside of meal times, we can add that to your group quote.

If you are serious about a group trip, do not wait. River ships are small. A single group of 40 can take up 30% of the ship's inventory.
18-24 Months Out: Best for Charters and Large Groups (40+). You get the best choice of dates and cabins.
12-15 Months Out: Standard booking window for Family Reunions (8-20 people).
Under 12 Months: You are looking for "fill-in" dates. We can find them, but flexibility is key.
